I found the process of organizing files to be quite straightforward. In my current position, I frequently create and utilize subfolders to systematically arrange documents. I also apply this method within my email to ensure that I can quickly access important information when needed. I often observe individuals saving all their documents in a single folder labeled “Documents” and wonder how they manage to locate specific files later on. I cannot imagine functioning without a well-organized system!

Part 2: Digital Tools

This assignment comes at an opportune time, as I have recently begun exploring Microsoft Teams to create a centralized location for my team to store shared tip sheets, a time-off calendar, and facilitate easy communication. At the time I started this assignment, I had learned that Microsoft Teams could serve these functions but had not delved deeper into its capabilities. For context, I work at a teaching hospital that consists of two distinct entities: the healthcare or hospital side and the university or research side. Although we function as one cohesive team, accessing each other’s systems can be challenging, making it difficult to share information, documents, or collaborate on projects. I recently discovered that Microsoft Teams is accessible to both sides, which could be a significant improvement for our operations.

Upon researching Microsoft Teams, I realized it offers many features beyond what I initially understood. I can use Visio to create process maps, OneNote for organization, and manage our projects within Teams while assigning tasks to team members, which will notify them of deadlines. This platform allows everyone to access the latest updates, contribute their own updates, and upload documents for collective access. Another appealing feature is the ability to maintain a personal section on Microsoft Teams that is not shared with everyone. This space can be used to manage performance reviews, track attendance, and keep notes from one-on-one meetings with team members.
